Exhibitors must provide proof of insurance and can either: 

OPTION 1: Provide a certificate of your own insurance from your liability insurer per the specifications below. 

MUST BE NAMED AS ADDITIONAL INSURED: 

• Western Fair Association, 316 Rectory St, London, ON   N5W 3V9  

• Corporation of the City of London, 300 Dufferin Ave, London, ON   N6A 4L9 

• London Optimist Sports Centre, 295 Rectory Street, London, ON N5Z 0A3 - This additional insured is required for BMO EXHIBITORS ONLY.

SPECIFICATIONS: General Liability insurance coverage of at least $2,000,000 inclusive of bodily injury and/or property damage per occurrence during the occupancy period of February 27, 2026 - March 7, 2026 for J-AAR Expo Centre Exhibitors OR March 2-6, 2026 for BMO Exhibitors.  Policy term must be inclusive to move-in and move-out dates.

CONDITIONS: It is a condition of your contract to hold harmless the Western Fair Association and the Corporation of the City of London against all charges of liability. Failure to provide proof of insurance may result in immediate termination of your contract, forfeiting all monies deposited and removal from the show without further consultation or financial recourse against Western Fair Association. Exhibitors who do not have Comprehensive General Liability insurance are deemed personally liable. Further, the Owner reserves the right to require the Exhibitor to provide any additional insurance coverage as may be required by the Owner in the circumstances of any undertaking carried on by the Exhibitor, it’s servants, agents, employees or otherwise on the Owner’s premises.

OPTION 2: You may obtain insurance coverage from the official insurance provider for the Western Fair, Vendor Insurance LTD. This company specializes in special event insurance and offers inexpensive exhibitors insurance. This form can be downloaded from the Exhibitor Portal.

Exhibitors will receive twelve (12) single day exhibitor passes for a 10 x 10 booth and three (3) additional exhibitor passes for every additional 10 x 10 booth purchased, up to a maximum of 60 passes total.

If you require more than the number of badges provided with your booth, additional badges may be purchased under the 'Additional Purchases' tab on the Exhibitor Portal prior to the Show.
Passes can be picked up from the Show office during move-in . Any remaining will be moved to the will-call station in the lobby by the main doors one (1) hour before the Show is open to the public and will remain there during Show hours.

• NO PASSES WILL BE MAILED OUT

• ELECTRONIC PASSES NOT AN AVAILABLE OPTION 

• PASSES ARE NON-REFUNDABLE

Exhibitor passes are your access into the Show and ALL Exhibitors will require a pass to enter the Show.

Shipments will be accepted after the first day of move-in. If you need to make a shipment before this time, please contact our show provider, Boneyard Event Services.

J-AAR Expo Centre Facility Address:

There is no on-site crate storage in the J-AAR Expo Centre and limited crate storage in the BMO Centre. If you need additional curtains for storage in your booth, connect let the Show Manager during move-in to create arrangements. Crates may be stored outside along the back fence line of the J-AAR Expo Centre.

BMO Centre:

10’ wide by 9’6” tall (Building 1)

J-AAR Expo Centre:

20’ wide by 19’ tall (Arena)

20’ wide by 16’ tall (Pavilion)

First Aid and security are located in the Show Office of your respective building (J-AAR Expo Centre or BMO Centre).

J-AAR Expo Centre Facility:

The Show Office is located along the North wall in the Pavilion.

BMO Centre London:

The Show Office is located on the 2nd floor.

During move-in all gates and parking lots will be open. Do not park in any designated fire lanes or ‘no parking’ zones.

Exhibitors are recommended to park in the corner lot of Rectory Street and York Street. Any large equipment or trailers must be parked in this area.

The BMO Centre parking lot is very congested during the Show. A shuttle service runs each day of the Show. Wednesday, March 4th & Thursday, March 5th 8:00am - 5:30pm and Friday, March 6th 8:00am - 5:00pm.

We strongly encourage exhibitors to utilize the shuttle, to ensure easy access for customers to attend the Show.
