All exhibitors are required to provide proof of insurance. You may choose one of the following options:

Option 1

Provide Your Own Insurance Certificate

Submit a Certificate of Insurance from your liability insurer that meets the requirements outlined below.

Additional Insureds

The following parties must be listed as Additional Insureds on your policy:

• Western Fair Association

• London Optimist Sports Centre (BMO Building exhibitors only)

Insurance Specifications

Your policy must include:

• Commercial General Liability Insurance with a minimum limit of $2,000,000 per occurrence.

• Coverage for bodily injury and property damage.

• Coverage must be valid for the entire occupancy period, including move-in and move-out dates:

  • J-AAR Expo Centre Exhibitors: February 26 – March 6, 2027

  • BMO Building Exhibitors: March 1 – 5, 2027

Conditions

• Exhibitors must hold harmless the Western Fair Association and the Corporation of the City of London against all liability claims.

• Failure to provide proof of insurance may result in:

  • Immediate termination of your contract;

  • Forfeiture of all deposits; and

  • Removal from the show without further consultation or financial recourse.

• Exhibitors without Comprehensive General Liability insurance are considered personally liable.

• Western Fair Association reserves the right to request additional insurance coverage if required based on the exhibitor’s activities, staff, contractors, or operations on-site.

 If any required information is missing or incorrect, the certificate will not be approved.

OPTION 2

You may obtain insurance coverage from the official insurance provider for the Western Fair, Vendor Insurance LTD. This company specializes in special event insurance and offers inexpensive exhibitors insurance. This form can be downloaded from the Exhibitor Portal.

Exhibitors will receive twelve (12) single-day exhibitor passes with the purchase of a 10’ x 10’ booth.

An additional three (3) exhibitor passes are provided for each additional 10’ x 10’ booth space purchased, up to a maximum of sixty (60) passes total.

• Passes are valid for single entry only;

• One (1) pass per person, per show day;

• No passes will be mailed;

• Electronic passes are not available;

• Passes are non-refundable; and

• All exhibitors must have a pass to access the Show floor.

Additional Passes

If you require more passes, additional passes can be purchased for $12.50 each (HST included) through the “Additional Purchases” tab in the Exhibitor Portal prior to the Show.

 Pass Pickup Information

• Passes may be picked up from the Show Office during move-in;

• Any remaining passes will be transferred to Will Call in the main lobby one (1) hour before the Show opens to the public; and

• Will Call will remain available throughout Show hours.

Shipments will be accepted beginning on the first day of exhibitor move-in. If you need to arrange delivery prior to this date, please contact our official show service provider, Boneyard Event Services, to make the necessary arrangements.

Please ensure all shipments are clearly labeled with your company name and booth number to ensure proper delivery.

Please note that on-site crate storage is not available in the J-AAR Expo Centre, and storage space in the BMO Centre is very limited.

For exhibitors in the J-AAR Expo Centre, empty crates may be stored outdoors along the rear fence line of the building at the exhibitor's own risk. Please ensure all items are clearly labeled with your company name and booth number.

Please ensure all displays, equipment, and materials can be safely accommodated through the appropriate facility access doors during move-in and move-out.

First Aid and Security services are available throughout the event and can be accessed through the Show Office in your respective building.

J-AAR Expo Centre

The Show Office is located in the Pavilion, along the north wall of the building.

BMO Centre

The Show Office is located on the second floor of the facility.

If you require assistance during move-in, show days, or move-out, please visit the Show Office or contact event staff for support.

During exhibitor move-in, all gates and parking lots will be open for access. Please do not park in designated fire routes or posted No Parking areas at any time.

Exhibitors are encouraged to park in the lot located at the corner of Rectory Street and York Street. Any oversized vehicles, trailers, or large equipment must be parked in this designated area.

Please note that parking around the BMO Centre can become extremely busy during Show hours. To help alleviate congestion and maximize parking availability for attendees, a complimentary shuttle service will be available on the following dates:

• Wednesday, March 3: 8:00 a.m. – 5:30 p.m.

• Thursday, March 4: 8:00 a.m. – 5:30 p.m.

• Friday, March 5: 8:00 a.m. – 5:00 p.m.

We strongly encourage all exhibitors to take advantage of the shuttle service whenever possible. This helps ensure convenient parking and access for our customers, contributing to a positive experience for all Show participants.
